Who Can See What in AB Talent

AB Talent shows each person only the records their access allows. Access isn't a ladder from low to high: it is a set of separate grants, and one person can hold several, such as Recruiter and Hiring manager and Employee all at once.

The seven kinds of access

AccessWhat it reaches
HR adminEverything, plus workspace settings and who holds which access. Salaries are the exception (below).
RecruiterEvery open position and every candidate. Runs screening and records decisions.
Hiring managerOnly the positions they are hiring for, and the candidates on them.
InterviewerOnly the candidates they are assigned to interview. They write a scorecard and don't decide.
EmployeeTheir own record. Everyone on the roster gets this automatically the first time they open AB Talent.
People managerTheir direct reports, by reporting line. This is also what lets them approve their team's time off.
ExecutiveHeadcount and hiring totals. Never an individual record.

Three things no access includes

Salaries

Salary, offer amounts and pay changes need May see compensation, given person by person. Not even an HR admin has it automatically, and that includes the first one.

Health results

Health checkups and stress check results are closed to everyone while we confirm what the law allows. Nothing is stored.

Approving yourself

Nobody answers their own time-off request, including an HR admin. Somebody else has to.

A few rules worth knowing

  • Being on an interview panel is what opens a candidate. An Interviewer sees a candidate because they are on the panel, and if the interview is cancelled, that access goes with it.
  • No interviewer reads another scorecard before writing their own, so nobody's view is shaped by somebody else's.
  • Managers see less of a document than you might expect. HR reads every document and you read your own, but a manager reads a report's certifications and nothing else.
  • The org chart is wider than the roster. Names, titles, departments and reporting lines are directory facts, and opening somebody's record is a separate question with its own answer.
  • The HR help desk reads only the person asking. A colleague's record never reaches the AI. See The HR help desk.

Changing someone's access

  1. Open the person. On People, open their record. Somebody who has signed in but isn't on the roster is listed under Not on the roster.
  2. Change it. Select Change access, tick what they need, and tick May see compensation only if their work requires it.
  3. Save. Select Save access. It applies the next time they open a page.

Only an HR admin can change access. A person with a roster record needs to have signed in once before their access can be changed.

What people see when access stops them

MessageWhat it means
You don't have access here yetThey have no access at all. An HR admin needs to add them to the roster or give them access.
Not yours to seeThey have access, but it doesn't reach this record.

When in doubt, start with less: access is quick to add, and what somebody has already read can't be taken back.
