Outreach: Every Time You Reached a Lead, and When to Follow Up

A lead’s status only says you reached it once. Outreach is the record of every time — an email from AB Sales, your website form, an outside email, a meeting, a call — what came of it, and when to follow up next.

Where it lives

Open any lead: the Outreach card sits just above Contacts. It lists everything newest first — how the lead was reached, the date, the campaign and step if there was one, the result, and the follow-up date. Entries AB Sales wrote itself say Recorded automatically.

What is recorded by itself

What happenedWhat the entry shows
You sent an email from the lead’s Send email panel, or replied from its email threadEmail from AB Sales
The Agent sent a campaign stepEmail from AB Sales, with the campaign and step — and the next follow-up set to the day the following step is due
An AI reply or an AI assistant (a tool such as Claude, connected to AB Sales) sent the lead an emailEmail from AB Sales

Emails sent before outreach existed were added once from AB Sales’ own records, so a lead you have been working for a while already has its history.

Log the rest

  1. Open the lead and, in the Outreach card, click + Log outreach.
  2. Say when and how. Date starts at today. Under How, pick Web form, Outside email, Meeting, Call or Other.
  3. Pick the campaign, if it was part of one. Choosing a Campaign picks the next Step for this lead and fills in Next follow-up with the day that step’s successor is due, using the wait days on the campaign’s steps. A note under the date says where it came from. Change either if you need to; a date you type yourself is left alone.
  4. Record the result if you know it (see the table below), and add a Note — what they said, or what you sent.
  5. Save. The lead’s row on the Leads list updates at once.

Results, and which ones end a campaign

ResultEnds the lead’s campaign?

On the Leads list

Switch the Leads list to List view to see three columns: Last outreach (with an icon for how), Follow-up and Result. In Card view the same appears near the bottom of each card. A lead you have never reached shows a dash.

  • The follow-up date turns red once it has come.
  • The Follow-up due button above the list shows how many leads are due, and clicking it lists only those, soonest first. “Due” means today or earlier, in the time zone set in your AB settings (UTC if you haven’t set one).
  • The latest result is the newest outreach that has one, and the follow-up date comes from the newest outreach that set one. An email you send by hand records itself without touching a follow-up date you planned.

Fixing a mistake

Entries can’t be edited. To correct one, click the trash icon on it and confirm with Remove, then log it again. A removed entry stays on the lead, marked Removed, but no longer counts — the lead’s last outreach, result and follow-up are worked out again without it. Removing an Email from AB Sales entry does not unsend the email.

Log what happens outside AB Sales as it happens, and the Leads list becomes a running answer to the question that matters most in outreach: who is due a follow-up today.
