Managing Subscriptions, Billing & Licenses

AB Projects is priced per user, with a free tier to start: your first 10 active users per Microsoft 365 tenant are free, and beyond that an admin puts each additional user on the Basic plan.

Plans

Free — $0

No credit card required. Up to 10 active users, unlimited projects and tasks, Microsoft Teams + Outlook integration, AI-assisted summaries and subtasks, community support.

Basic — $3 per active user / month (USD)

For teams that grow past 10 users. Everything in Free, with no user limit (each active user is billed at $3/month), plus Microsoft 365 billing & admin control and email support.

How licensing works

  • Free — the first 10 active users in your organization are licensed automatically, at no cost.
  • Basic plan — once those free seats are in use, an admin puts each additional user on the Basic plan from your subscription.
  • You become a project member through the connected Teams channel — see Becoming a Project Member.

Guests and external members

Your workspaces can include people from outside your organization — guests you’ve added to a Teams channel, or partners and clients you collaborate with. When a guest uses AB Projects in your workspace, they use one of your seats: a free seat while you’re under the 10-user limit, or the Basic plan you assign beyond that. In other words, the host pays for everyone in their workspaces — guests don’t need their own AB Projects subscription. Guests appear in Settings → Manage licenses alongside your own members, so you manage their access the same way.

Buying a subscription: step by step

  1. Buy the plan on AppSource. Open AB Projects on Microsoft AppSource with a work account that can make purchases for your tenant, choose the Basic plan and the number of seats, and complete checkout. Some plans include a free trial period — if yours does, billing only starts when the trial ends, and cancelling during the trial costs nothing.
  2. Activate for your tenant. After checkout, Microsoft sends you to a short activation page on actionbridge.io. It shows what you bought — subscription name, seats, and purchaser — and asks you to confirm with “Activate for this tenant”. Your subscription (and any trial clock) starts at this activation, not before. If you closed the window before activating, go to Microsoft 365 admin center → Billing → Your products, open the subscription, and choose Configure account to return to the activation page.
  3. Assign the seats. Once activated, the Basic seats appear in AB Projects → Settings → Manage licenses, ready to assign.

Assigning & managing the Basic plan (admins)

Organization owners and admins manage who’s on the Basic plan in Settings → Manage licenses.

  1. Open the page. In AB Projects, go to Settings → Manage licenses.
  2. Review usage at a glance — free seats used, Basic seats assigned, and your subscription’s current status.
  3. Assign or free a seat. Next to a user, select Basic to put them on the Basic plan (when seats are available), or Revoke to free a seat for someone else.

Only organization owners and admins can see and manage the Manage licenses page.

Subscription status & history

The Manage licenses page also shows your subscription’s live state, straight from Microsoft: its status — Active Pending activation Suspended Cancelled — whether you’re on a Free trial, when the current billing term ends, and whether it renews automatically. Below the seat counters, Subscription history lists the lifecycle events — activation, seat changes, renewals, cancellation — so you can always see what happened and when.

Changing seats, cancelling & what happens to users

Add or remove seats Change the quantity on your subscription in the Microsoft 365 admin center → Billing → Your products (marketplace app subscriptions may be listed on the Apps tab), or from your subscription on AppSource.
Reduce seats below what’s assigned Nobody loses access automatically — AB Projects will never pick who gets removed. The Manage licenses page shows a warning that more seats are assigned than purchased, and an admin chooses whom to revoke.
Cancel the subscription Its Basic seats are released automatically when the subscription ends. Each affected user falls back to a free seat if your organization is still within the 10 free users; beyond that, their access becomes read-only — they can still view projects and tasks, but creating and editing is paused until seats are purchased again. Nothing is deleted: all projects, tasks, and history remain intact, and re-subscribing restores full access immediately.
Want a refund Refunds and timing follow Microsoft’s marketplace policy — for example, cancelling a monthly subscription shortly after purchase is typically refunded, and trials can be cancelled at no cost. See your subscription in the Microsoft 365 admin center for the exact terms.

What a user sees when they’re not on a plan

If your team has used all its free seats and a user hasn’t been added to the Basic plan, they can still view tasks and projects, but writing (creating or updating tasks, commenting) is blocked with a friendly prompt to ask an admin for access. This applies consistently in the Teams bot, AI assistants (via MCP), and the web app.

Tips

  • Pilot on the Free tier (up to 10 active users) before moving to the Basic plan.
  • Because pricing is per active user, rolling out one team at a time keeps cost aligned with real usage.
  • You can move the Basic plan between users anytime — revoke it from one person and assign it to another in Settings → Manage licenses.
  • Check Subscription history on the Manage licenses page whenever something looks off — it shows every activation, seat change, and cancellation with its date.
